We have an opening for a Program Support Specialist in our Outpatient Services Unit! The Program Support Specialist (PSSII) position assists with the support, organization and administration of the operations of Outpatient Services (OS). The Program Support Specialist provides clerical and office management activities within the program. He/she produces documents, files, answers phones, and handles scheduling to support the clinical activities of the program. In addition, the Program Support Specialist provides support and assistance to a variety of meetings and workgroups across Journey Mental Health Center. This position requires some evening hours to provide coverage and cover for other OS program and check-in desks.

FOLLOWING IS ADDITIONAL INFORMATION:
The Program Support Specialist reports to the Program Support Team Leader and the Clinical Team Manager of Outpatient Services. S/he may assume other projects and duties as directed.
Minimum of 1 year of experience in providing administrative support services in a busy, multi-staff, similar service industry.
Demonstrated superior communication skills including the ability to take accurate messages, communicate calmly, effectively and courteously with a variety of customers, both orally and in writing.
Demonstrated strong computer skills including the ability to develop and monitor databases, use e-mail, internet, Word, Excel, Filemaker Pro and Power Point.
Demonstrated characteristics of flexibility, problem solving, setting priorities, handling large and diverse amounts of work, multi-tasking including the ability to work well with a wide variety of people, both independently and with a team.
Ability to work independently and set priorities with minimal supervision.
Knowledge and understanding of how to work with confidential information.
Demonstrated commitment to cultural competence by ensuring that support services are provided which are welcoming and comfortable to the unique needs, experiences, and perspectives of each client.
Strong commitment to, and comfort working with, individuals recovering from mental health/AODA issues.
Experience providing support services to Latino/a persons
Knowledge and experience with Latino Community Agencies
Experience working as part of a multidisciplinary, multicultural team in an outpatient mental health/AODA setting.
Experience and/or training in setting up and managing an office.
Knowledge of Mac computer systems.
Possession of a valid driver's license, a favorable driving record, adequate insurance (per WI law) and access to a vehicle.
A. Reception and Consumer/Staff Interaction Activities
Answer phones: providing information, support, and direction to callers in a culturally sensitive manner respecting the values, beliefs, and traditions of consumers. Complete daily reminder calls as needed.
Greet consumers. Check consumers in by collecting, reviewing and updating demographic and insurance information, set fees, and coordinate efforts with the accounting department. Use notification system to let staff know of client arrival, register new consumers to all Outpatient Services programs, assist consumers in obtaining services and schedule appointments, create files to maintain program records.
Maintain comfortable environment in waiting area by addressing consumer behaviors and concerns, acquiring other support when necessary.
Use computer to produce and update documents, reports, schedules, and reduction of direct services hours. Complete authorizations, purchase orders, expense vouchers, and purchase and track consumer bus tickets.
Support staff by making copies, maintaining supplies, making sure that printers, fax machines, copiers are in good working order.
Maintain adequate supplies for the program staff.
Take and distribute accurate and timely minutes of meetings as assigned.
Work all program desks, as needed, including front desk check -in, coordinating activities with the other program support specialists.
Attend staff and other JMHC meetings to facilitate program’s mission.
Float to other program desks as needed for coverage
B. Office and Data Management
Ensure that the information systems and database programs meet the needs of Outpatient Services.
Coordinate activities with the other program support specialists.
Maintain databases and develop new ones for tracking program outcomes, etc.
Perform other duties as assigned by Program Support Team Leader, Clinical Manager or designee.
C. Latino Clinic Duties
Answer Clinical Latina line, return phone calls, take messages, triage calls, and help with referrals to other agencies.
Schedule appointments for Spanish speaking consumers.
Prescreen referrals, complete Clinical Latina referral form and triage with Program Coordinator.
Complete Fee settings, informed consent for cost of treatment, check forward health and register Spanish-speaking consumers as appropriate coming through Clinical Latina.
Monitor and update waitlist for Clinical Latina. Add consumers on to wait lists and take consumers off wait lists when an opening is available.
Schedule initial medication evaluations and return appointments as needed for Spanish speaking consumers.
Enter information for tracking purposes into excel spreadsheet.
Work with other Spanish speaking PSS around Cinica Latina duties.
Attend Clinica Latina Staff meeting weekly.
