The Events Coordinator exudes a fun, family oriented, outgoing and positive attitude, is collaborative, likes working on multiple projects across multiple departments, and is a strong written and verbal communicator. The primary objective for this position is to seamlessly execute the Bromley Winter Events Calendar, ensuring excellent and on-time coordination and deployment of all events and activities with an emphasis on safety. Other responsibilities may include creating new events, digital and social media support, content creation support and snow reporting. This person is the primary caretaker of the guest experience for those attending and participating in events at Bromley Mountain, and he/she is crucial to the success of the on-mountain Marketing Plan. Requires both weekend and holiday work, and may include evening work.
The primary goal of special events and activities at Bromley is to enhance the guest experience while at the resort, creating positive memories, ensuring guests return again and again. Secondary goals include strengthening our brand positioning and gaining additional media exposure.
Duties and Responsibilities:
Coordinate all Bromley events according to the published Events Calendar. Plan, set up, execute and be on-site to greet and troubleshoot throughout events, and break down at the conclusion of the event. Oversee any additional staff/volunteers needed.
Schedule, motivate, evaluate and direct event staff, paid or volunteer, to ensure adequate guidance and resources to accomplish the established goals and objectives of each event. Ensure that all event employees receive the training, support, guidance, feedback and resources necessary for their role.
Coordinate with all Bromley departments and/or outside vendors to book lodging, recreation, food and beverage, transportation, or other supplies as needed for events.
Coordinate all on-site needs for event and resort sponsors, ensuring all contractual obligations are met.
On occasion, may be asked to represent Bromley at meetings with event sponsors or outside vendors.
Develop and distribute event fact sheets to all departments at least one week prior to event.
Develop event evaluations, and distribute to all departments within two weeks of holding the event.
Work with Marketing Coordinator and/or PR staff to publicize events both leading up to and after the event has taken place.
Support the frequent update of web and social media content around all events.
Assist in production and distribution of marketing materials for event promotion by working with the Snow Reporter/Content Producer and Marketing Coordinator to ensure marketing promotions for events are represented in all marketing channels, including website, social media and on-site signage and digital displays.
Negotiate trades for products with sponsors to create prize pool for events.
Maintain budgetary guidelines for each event, activity or promotion.
Maintain and enhance a guest focused culture at all times.
Additional duties and responsibilities as required by the department, may include snow reporting shifts.
Qualifications and Competencies:
Associates Degree and/or relevant marketing, events or life experience.
Ability to delegate responsibility, motivate and lead staff to achieve goals and objectives.
Understanding of corporate and resort specific policies and procedures.
Proficient in MS Office: Outlook, Word, Excel, and Powerpoint.
Proficient in current social media platforms.
Ability to switch-task effectively, and meet deadlines.
Requires excellent written and verbal communication skills with all levels of employees, guests and other outside contacts, with the ability to work across multiple departments effectively.
Enthusiastic about skiing and snowboarding and an outdoor winter lifestyle, and able to ski or snowboard at an advanced level.
Up-to-date knowledge in digital technologies and camera/video equipment helpful.
Able to work effectively independently as well as part of a team.
Must be able to work weekends and holidays during the winter season.
Must have reliable transportation.
Must be able to project the image of the company.
Must be able to work outdoors in inclement weather and extreme cold.
This position is responsible for the overall direction and coordination of event staff, and may require delivering direction, input and/or feedback, or assigning tasks to peers in other departments, but has no direct supervisory responsibility.
This job operates in a professional office environment, but does spend time outdoors during the winter season. This role routinely uses standard office equipment such as computer, phone, photocopier, filing cabinets, mail machines, and fax machines. However, considerable work outdoors is also expected throughout the base of operations.
This role spends time working indoors using computers and phones for extended periods; however, much movement and work around the entire resort, including while on skis or snowboard, is also necessary.
