Executive Assistant

Job description          

Genesco Inc. is looking for a bright, multitasking and self-motivated Executive Assistant to support the Senior Vice President, Strategy and Shared Services. The position is based in our Nashville, TN headquarters. This is a critical and highly visible role within Genesco and requires hands-on engagement with various Shared Services, Corporate, and Operating Division departments and functions. The role also requires proactive support of this executive with a mastery of time management, calendars, travel, events, expenses and productivity improvements.

How You Will Make an Impact: Effectively and proactively manage complex calendars according to changing executive and company priorities, adjusting schedules on the fly to accommodate business needs Solve scheduling issues with high attention to detail and effective communication Adapt quickly to changing executive, team and company priorities, while being able to anticipate and proactively suggest solutions to conflicts Look for opportunities to streamline the executive’s workflow and work closely with the executive to identify priorities and ensure these tasks are completed on-time Show high levels of professionalism, respond quickly to requests, and communicate effectively with Genesco senior management, Shared Services leaders, other internal constituents, Genesco’s Board of Directors and various outside advisors (e.g., legal counsel, investment bankers, consultants, auditors) Provide support on activities related to the company’s day-to-day operations and long-term growth strategy, including: mergers, acquisitions, divestitures, and business partnerships Prepare for and support Board-related activities, such as Board committee meetings and Board presentations Handle day-to-day administrative duties, e.g., planning and scheduling meetings/conference calls; preparing and editing internal and external correspondence and presentations; assembling documents and supplies as needed to support executive’s activities; tracking and driving completion of deliverables; following-up on outstanding items; maintaining files, records and databases; making travel arrangements; providing phone coverage Work closely with other executive assistants and colleagues within Genesco’s corporate offices to assist in the coordination, preparation and execution of Board meetings, monthly business reviews, annual budgeting meetings, longer-term strategic planning, company-wide initiatives, and various meetings, projects, events and other ad hoc needs Collaborate with other executive assistants within Genesco’s corporate offices to provide back-up administrative support for other executives within Genesco’s corporate offices (e.g., CEO, COO, CFO, General Counsel), if/when needed Coordinate and schedule domestic and international meetings, travel and lodging as needed Prepare and submit executives expense reports Stay abreast of developing needs and requirements and act as an information source for the executive Performs ad hoc duties and special projects as assigned
Minimum Requirements Experience and Skills You Will Need to Have: 5+ years experience as an Executive Assistant, preferably in a corporate environment of a public company Associates degree required, Bachelor's degree preferred Maturity: Exhibit the highest level of confidentiality, discretion, integrity and trustworthiness with sensitive, non-public information Ultra-dependable: Always able to positively represent the executive you support and Genesco Structured in approach: Analytical, organized and conscientious while still able to be flexible, patient and open-minded, in times of shifting priorities Highly organized: Outstanding organizational skills and able to complete time-sensitive tasks in an efficient manner Self-starter: Seek to identify and resolve problems in a timely manner and with maturity; be a creative and proactive problem-solver Quick learner: Someone who can become familiar with new situations and people within and outside the organization rapidly, and is able to handle a wide variety of situations Great communicator and listener: Strong written and verbal skills; active and diligent listener; use tact and diplomacy when interfacing with different personalities within and outside of Genesco Curiosity: Eager to learn more about the company and the evolving business environment we operate in; always open to learning new skills and expanding your professional toolkit Technically skilled: Advanced PowerPoint skills or strong aptitude for PowerPoint. Highly proficient in Word and Excel. Proficient with expense reporting systems (e.g., SAP Concur); travel booking systems; and various web-based tools (e.g., UltiPro Human Resources systems, Diligent Board Management Software). Knowledge of database tools like Access is helpful Great team member: Have a strong cultural fit with Genesco and other team members and colleagues Reliable and flexible: Comfortable working 40 hours per week with availability outside of regular business hours for urgent matters or planning needs. Flexibility to match executives schedule when needed
