GENERAL SUMMARY Legacy Supply Chain Services, supporting ABB, currently has an opening at the Mt. Juliet Facility for a Business Administrator. The position will report to the HR Manager and be responsible for fulfilling a variety of administrative and clerical support functions including purchasing and HR support for the facility. The individual performing this job is empowered with adequate authority to exercise the required duties and responsibilities of the position to ensure that all work performed meets or exceeds Legacy’s standards for safety, quality, and productivity. A person in this position must have strong computer skills, will be self-driven, hands-on, people oriented, and an excellent communicator. Associate will demonstrate behaviors consistent with Legacy Supply Chain Services values-based culture. ESSENTIAL JOB FUNCTIONS Purchasing Source availability, review pricing and place purchase orders for material to fulfill customer requirements. Coordinate both direct and indirect purchasing activities in Oracle and SAP. Receive all orders on the direct side of Oracle and update spreadsheet to reflect all items received. Responsible for checking accuracy of inbound supplies from Receiving and placing stock in storage. Communicate with vendors or suppliers by telephone and e-mail including processing of invoices. Conduct daily communication with vending company as it relates to vending errors/change for vending. Responsible for all inventories, purchasing, distribution and maintaining adequate supplies for the Office and Warehouse including packaging material, boxes, pallets, labels, cleaning supplies, first aid supplies, etc. Maintain adequate supply of plastic ware, and hydration freezer pops in all break rooms. Maintain adequate packaging supplies in the Fastenal vending machine. Audit First Aid Kits and replenish supplies as needed. Participate on facility Safety Committee. Verifying bill of lading and adjusting SAP amounts to reflect correct quantities. Attention to detail, multi-tasking and daily follow-up is required. High level of visibility and professionalism. Human Resource Support Provide HR clerical and administrative support to ensure that record keeping requirements are completed in an accurate, timely, and confidential manner. Assist with daily time and attendance review in Kronos and daily hour reports. Provide support with the onboarding, tours and interview schedules. Assist with facilitating New Hire Orientation. Assist with facilitating EHS Training and training matrix. Provide support concerning HR policies and procedures. Provide HR support including scanning, uploading documents, filing and maintaining confidentiality. Coordinating special meetings, meals and Community Service projects. Assist HR with maintain locker assignments and cleanliness. Assist with maintaining bulletin boards and cleaning assignments. MINIMUM QUALIFICATIONS/REQUIREMENTS Prior experience working as a Business Administrator in a Warehouse, HR, or Supply Chain environment. Previous experience with Time and Attendance (Kronos) preferred. Ability to maintain strict confidentiality regarding payroll, benefits, and employee issues. Highly motivated, ambitious self-starter with excellent written and verbal communication skills. Ability to multi-task with a high degree of accuracy and attention to detail. Ability to work independently with good judgment, while working in a fast-paced warehouse environment. Purchasing and/or Finance administration background preferred. Good judgment with the ability to make timely and sound decisions. Strong written and verbal communication, problem-solving, organizational, and analytical skills. Strong customer service with both internal and external customers. Ability to work well with people at all organizational levels from various backgrounds. Ability to prioritize and handle multiple tasks simultaneously, work efficiently within time constraints and deadlines, and handle stressful situations. Oracle and SAP experience. Proficient in MS Word, MS Excel, MS PowerPoint, MS Outlook, Internet, etc. Must be able to speak, read, write, and understand the primary language (English) used in the workplace. EDUCATION High school diploma, GED, or equivalent. 2-year associates degree preferred or 3-5 years equivalent work experience. OTHER CONSIDERATIONS Attendance History. Team members with active corrective action are ineligible for open positions. Team members that applied for and were placed into a posted position within the last 6 months are ineligible for this open position. PHYSICAL DEMANDS A percentage of work time is spent in a warehouse where temperatures are hot or cold (seasonally) and noise level can be moderate to high. The team member must frequently lift and /or move up to 10 pounds, occasionally lift and/or move up to 25 pounds and infrequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
