Administrative Specialist I

Job description          

This position provides semi-routine, complex administrative support to the Academic Affairs Division Office of Planning, Evaluation and Institutional Research (OPEIR). Responsibilities include: Provides front line reception support for OPEIR and contributes to professional atmosphere for the front office. Performs essential clerical duties within established practices, policies, and procedures to work toward assigned outcomes:Maintaining department budget including reconciliation of ledgers, processing payroll forms, facilitating travel and travel reimbursement, and assisting in contract execution.Maintaining office supply inventory including initiating purchase order requisitions, payment of invoices, and ordering office supplies and testing materials. Provides phone support and tracking for data requests through Footprints. Coordinates logistics for department meetings related to training sessions, data presentations, program reviews, new program proposals, and ad hoc as necessary. Facilitates accurate data entry by conducting preliminary research and data validation to support department projects. Assists in data entry and research to support department projects. Prepares reports and other documents from rough drafts and engages in editing and revision process. Assists with Testing Center duties including check-in, proctoring, data entry, and Scantron requests. Updates OPEIR web pages. Provides clerical support for special projects within Academic Affairs. Other duties as assigned.

Qualifications High School diploma or GED required; college degree preferred. Must have a minimum of 3 years office experience. Must have excellent communication skills, both oral and written. Candidate should possess excellent interpersonal skills and maintain a professional demeanor and promote a professional front office environment. Must be proficient in MS Office Suite and Adobe; experience with survey software preferred. Familiarity maintaining website content requested. Must be able to handle multiple tasks simultaneously and with a variety of constituents, internal and external. Institutional research and experience in the use of SAP (IRIS) and/or BANNER preferred.
