Assistant Director of Conference and Guest Services

Job description          

The conference and guest operations unit is responsible for organizing and leading the summer conference business that generates $1.2M in annual revenue as well as guest housing accommodations for visiting faculty and staff. This position works closely with many staff and faculty across the university as well as visitors to our campus. The position?s primary responsibility is the planning and execution of all athletic, academic, and other affiliated conferences that utilize housing resources during the summer. This position, along with seasonal labor, is solely responsible for ensuring that the client?s camp or conference runs smoothly to ensure their repeat business. The position also liaisons with parking, dining, recreation and classroom reservations to assist guests. The position also works with faculty and staff to house visiting faculty and staff in our guest housing apartments throughout the course of the year. The Assistant Director of Conference and Guest Services reports to the Director of Administrative Services. Specific duties include: Administration Works collaboratively with Facilities, Residential Education, Housekeeping, and Housing Support to provide a seamless summer program. Evaluates and assesses workflow and available staffing resources. Manages work flow processes of all summer conference details and delegates tasks to other staff as needed. Develops program policy changes when needed. Leads summer staff meetings and team meetings as necessary. Directly supervises one full-time staff member, 2-3 interns, and a large summer staff. Assists billing coordinator with financial transactions of group charges. Information Analysis and Decision-Making Implements new process changes with high degree of autonomy. Identifies and resolves problems affecting camps and conferences directly with clients. Prepares reports for both internal and external constituents. Resolves most difficult customer and client concerns in a highly professional manner. Minimum Qualifications: Bachelor's degree in business administration, public administration, or related business area; or equivalent combination of training and experience.
