Facilities Assistant

Job description          

Under the supervision of the Director of Facilities and Security, the Facilities Associate provides assistance in support of the maintenance, repair and operations of the Green Street location. Duties
1. Performs tasks related to the maintenance of building in a timely manner Performs maintenance and repairs to agency facilities, including, but not limited to: Basic plumbing Report any alarms on the gas and water boosters Performs regular maintenance of toilets, water fixtures, and soap dispensers Electrical work Changes bad light fixtures and ballasts Repairs Makes changes to work space and storage areas as required Anticipates required plumbing, electrical, carpentry and other work, and makes recommendations regarding this work Prepares conference rooms for meetings, luncheons, etc. or oversees that function Coordinates with staff, vendors, caterers Schedules cleaning company after events Removes litter from property; schedules pick-ups for larger litter removal. Oversees opening and closing of site; ensures security measures are in place. Coordinate daily mail pick-up and delivery; ensure that all deliveries are picked up by the appropriate staff member in a timely manner; Coordinate pick-up of mail from local P.O. Box. 2. Accurately and in a timely manner oversees the monitoring and maintenance of a variety of supplies Coordinate and place office supply orders with vendors, including ordering of prevention supplies Works with vendors to assure prompt delivery of supplies and fulfillment of contractual agreements Lunchroom, Water and Coffee Supplies Monitors, orders and delivers lunchroom supplies such as paper plates, napkins, and plastic utensils that supplies are always available; Oversees ordering of water for dispensers Orders, monitors and stocks coffee, creamer, and hot cups Copiers Monitors the use of photocopier paper Orders and delivers copier paper so that it is available at all times at the various copier stations; works with vendors to assure prompt delivery of supplies and fulfillment of contractual agreements Monitors the use of photocopier toner Orders toner so that there is always an adequate supply available Replaces toner in the photocopiers as needed Orders and maintain cleaning supplies and regular facilities department systems such as: HVAC, electrical, plumbing 3. Provide and coordinate administrative and clerical support for programs Answer phones, greet, and direct clients and visitors in a friendly and professional manner; ensure all agency clients are connected with the staff person who can best meet their needs. Assist staff with file maintenance, data entry, database support, supply ordering, filing, faxing, conference/meeting room coordination, photocopying and other duties as assigned. Act as a liaison for program staff to Information Technology, Facilities, and Finance staff members and work to streamline and coordinate program staff supply, facility and technology needs. 4. Performs related duties as required
Requirements: High School graduate or equivalent required Basic knowledge of at least three of the following: heating, ventilation and air conditioning, plumbing, electrical work and carpentry Basic computer experience Basic knowledge of building codes highly desirable Excellent customer service skills Familiarity with reading blueprints Demonstrated ability to work closely with vendors and other professionals and monitor contract compliance Knowledge of or experience preparing facilities for accrediting agency site inspections Ability to manage multiple projects, activities and tasks simultaneously Ability to establish and maintain effective working relationships with staff, vendors and visitors to facility Experience working with an ethnically, culturally and racially diverse work staff preferred Ability to work harmoniously with diverse groups of individuals Physical Requirements:
Ability to meet the following physical requirements with or without reasonable accommodations: Regularly walk, stand, stoop, climb, kneel and crouch Frequently lift, carry, push and pull objects weighing up to 50 pounds independently, and occasionally objects weighing up to 100 pounds with assistance Work involves considerable exposure to unusual elements such as extreme temperatures, unpleasant odors and/or loud noises Moderate physical activity
