Summary: Execute facility management and project coordination for Galls’ branch and service center network under the guidance of the Director of Legal Operations. The Project Coordinator works closely with Galls Branch Operations and Corporate leadership to facilitate in the accountability, development and management of facility plans, budgeting, and administrative support of Galls’ branch network. Serve as company’s representative, providing timely and accurate information, to the branch subcontractor network and landlord portfolio to preserve the good condition of company assets and ensure branch facilities are safe for employees and customers. Assist in lease administration, site selection, facility inspection, and design/remodel planning and coordination.
Essential Duties and Responsibilities:
Oversee and improve the effectiveness of 3rd party facilities maintenance vendor within Galls’ branch network, coordinating the routine maintenance, repair, and/or replacement of branch facilities and equipment.Oversee various aspects of branch facility projects (expansions/consolidations/within-the-wall remodels); drafting scope of work, estimating costs, and scheduling information for review and approval.Communicate and coordinate with regional compliance agencies (health, fire, and water quality) and local municipalities to ensure proper certifications, permits, and licenses are in place in Galls’ branches.Prepare facilities related communications and act as a department central point of contact.Exercise independent judgment on moderately complex tasks; Utilize experience and judgment to plan and accomplish goals and perform moderate and difficult tasks.Negotiates terms and conditions of subcontractor agreements (e.g., price, timing).Receive proposals and award contracts adequate for bidding for remodels, buildouts, or refreshes by contractors.Responsibility for contract administration, change order review and management, invoice approvals, and verification of accurate bonds, insurance and lien waivers from contractors and vendors. Maintain Project documents and drawings on shared electronic portals to ensure quick and easy access by other Internal departments.Serve as single point of contact for internal customers, outside vendors, contractors, and other professionals as required on designated projectsExecute facility inspections within branch network and targeted acquisitions to determine health/safety hazards and other repair needs.Maintain positive relationships with corporate and all locations management.Review all lease agreements/documentation and contracts for Galls corporate office, retail stores, and service centers to ensure up to date awareness of all facility requirements and needs.The list of accountabilities is not intended to be all-inclusive and may be expanded to include other education- and experience-related duties that management may deem necessary from time to time.Coordinate the sourcing of contractors, materials, and service vendors, which includes reviewing and negotiating vendor proposals, service level agreements and rates.Understand building operating, security and IT systems as well as managing P&L and budget responsibilities.Lead project coordination efforts with facility landlords to ensure needed approvals are in place for all projects.
Ability to read and understand construction documents.Strong organization and time management skills.Strong Microsoft Office skills.Ability to manage multiple projects on tight deadlines concurrently.Ability to communicate with all levels within the organization and external vendors.Ability to travel independently (50%).
Bachelor's degree in Facilities Management, Project Management, and/or 3+ related experience required.Previous experience/education in construction management and estimating of commercial (preferably retail) projects.
