Part-Time Administrative Assistant for Reception and Academic Support

Job description          

The primary roles of this position are to greet students and visitors to the department, direct them to the appropriate person and to assist and support the academic programs housed in the Department of Engineering Technology. Primary Duties: Reception – greet and direct students and visitors to correct person with courtesy and professionalism. Accept and distribute incoming packages from FedEx, UPS, etc.Purchasing – enter requisitions for purchase orders for items needed by office or various programs; i.e. – office supplies, lab supplies. Track orders to ensure receipt of supplies in a timely manner.Room Scheduling – utilize room scheduling software to request rooms for courses and on an ad hoc basis. Create and manage tracking system to ensure accuracy and no conflicts.Student Records – develop a system to manage and track department student files, including new transfer students, graduates, and inactive files.Data Entry – course directives, advisor assignments.Parking validations – request and maintain supply of parking validations for departmental guest speakers.Mail – sort and distribute incoming mail; process outgoing mail (both inter-office & USPS) Daily.Other tasks as requested/assigned. Required Qualifications High school diploma or GED and one year of office experience. Ability to effectively communicate and exchange information with a wide variety of individuals, excellent interpersonal skills, and a customer service orientation. Strong organizational and multitasking skills including the ability to manage multiple priorities. Proficient in Microsoft Office Suite. Preferred Qualifications Some college. Experience in an academic environment. Knowledge of SIS and FMS university systems. Working Conditions / Physical Demands Regular attendance. Ability to remain in a stationary position for periods of time. Minimal moving of equipment.
