Founded in 1988 by Paul Newman, The Hole in the Wall Gang Camp provides “a different kind of healing” to more than 20,000 seriously ill children and family members annually – all completely free of charge. For many of these children and families, Hole in the Wall provides multiple Camp experiences throughout the year at the facility in Ashford, Conn., in more than 40 hospitals and clinics, directly in camper homes and communities, and through other outreach activities across the Northeast.
This position works closely with the Director of Camper Admissions, Admissions Coordinator, and Office Manager to help facilitate the flow of timely and accurate application content and related documents between relevant staff and teams. The position will also work interface with our Medical Team and community members and will support our overall camp operations in a variety of ways. Our Admissions Assistant provides integral support to our programming efforts and joins in modeling and projecting our culture of Safety, Respect, and Love.
Our Admissions Assistant can expect to…
Provide general administrative support for our Admissions Department and related operations
Assist with telephone duties by fielding questions, taking messages and forwarding to appropriately.
Assist Director of Admissions and Admissions Coordinator in detailed data entry for program participants
Manage quick response & notice of receipt to all incoming applicant paperwork for individuals and group applicants
Assist with the mailing of all program/admissions information packet and applications
Act as medical paperwork liaison between Admissions and Medical teams
During summer months and weekend programs, assist with registration/departure process
Assist with special projects and performs additional duties as assigned
Know and adhere to the policies and procedures contained within the Camp Manual
Maintain confidentiality in regard to medical information of campers, families and staff
Our Admissions Assistant should have…
The ability to establish positive relationships with a variety of people in multicultural environments
High school degree or equivalent experience (Bachelor’s preferred)
3-4 years of Administrative experience or equivalent
A sense of humor and the ability to find a balance between focused professionial endeavors and unstructured fun
An ability to engage and support community members (i.e. particpants, staff, and volunters) over the phone and in person
Strong organizational and administrative abilities
Strong attention to detail and the ability to bring a creative edge to procedural data processing, communications, and activities
Strong written and verbal communication skills. Bilingual/spanish language skills preferred
A familiarity with key software and database resources (e.g. Microsoft Office, Salesforce, FormAssembly, etc.) and adaptable digital skills
A willingness and ability to operate a computer, copier, scanner, fax and manage busy multi-line telephone
