Assistant Facility Manager

Job description          

The AFM is the client’s primary on-site contact. As part of the Integrated Facility Management team, the AFM will listen to the voice of the customer in order to ensure consistent service delivery. The AFM must be a team player and work with on-site personnel, third party vendors, account team and all other necessary parties to meet all key performance indicators as set out in the master service agreement.

Oversee a portfolio of multiple properties
Managing/coordinating 3rd party vendor performance including tracking work order completion and validating invoices
Ensure all site management and operations practices are in compliance with company and client standards
Proactively work to reduce WO cycle time and improve SLA performance
Communicate/Escalate with appropriate parties (client, vendors, etc.) as needed
Cultivate and maintain a positive working relationship with client representatives (JLL or external) and service providers.
Performing day-to-day oversight/monitoring of work order completion and follow-up with vendor and client
Recommend continuous quality improvement practices across the client portfolio.
Collaborate with account Engineering Services personnel on maintaining assets within the portfolio.

Assist with management of WO platform
Manage third party vendors and landlord related issues

Data and PM schedule administration
Supervise vendors, as required
Client Satisfaction
Achievement of KPI targets

Bachelor’s degree in business, accounting, finance, economics or real estate preferred.
2-4 years of experience in a professional, fast paced environment.
Proficiency with Microsoft Office Suite including, Outlook, Word, PowerPoint & Excel
Attention to detail
Strong organizational and analytical skills; problem solving ability
Self-starter and team player
Proven record of excellent internal and external customer service
Communicate professionally in a clear and concise manner (verbal and written)
Demonstrate highest professional standards of behavior and follow the JLL Code of Ethics policy.
Flexibility with working hours as needed
Availability to travel as needed
